Frequently asked questions

What is AP style and why do press releases use it?

AP (Associated Press) style is the editorial standard for journalism — numbers one through nine are spelled out, months are abbreviated in dates (Jan. 15), titles before names are capitalised. Using AP style signals to journalists that your release is professionally prepared and ready to quote without editing.

What is the correct structure for a press release?

(1) FOR IMMEDIATE RELEASE. (2) Headline in active voice, title case. (3) Optional sub-headline. (4) Dateline: CITY, State, Mon. DD, YYYY —. (5) Lead paragraph: who, what, when, where, why. (6) Body + quotes. (7) About [Company] boilerplate. (8) ### (end marker). (9) Contact: name, title, email, phone.

What makes a press release newsworthy?

Journalists use: Timeliness (happening now), Significance (affects many people), Novelty (genuinely new), Proximity (relevant to the outlet's audience), Human interest. Lead with impact, not announcement. Avoid "pleased to announce" — that's marketing, not news. Ask: why does this matter to readers outside your company?

How long should a press release be?

400–600 words — roughly one A4 page. Journalists receive hundreds of releases per week; anything over one page risks being abandoned. Get the news into the first two sentences. Each paragraph should stand alone so a journalist can cut from the bottom and still have a complete story.
