Frequently asked questions

What is the difference between a quote and an invoice?

A quote is sent before work begins — it tells the client what you will charge if they accept. It is not a request for payment. An invoice is sent after work is completed and is a formal request for payment. A quote has an expiry date and is conditional; an invoice has a due date and creates a legal obligation.

What should a professional quote include?

Your business name, logo and contact details; client name and address; unique quote number and date; quote expiry date; itemised line items with descriptions, quantities, unit prices and totals; subtotal, tax and grand total; payment terms; scope notes (what is and is not included); and optionally a delivery timeline and T&C reference.

How long should a quote be valid for?

Freelancers/consultants: 30 days. Professional services: 30–60 days. Construction/trades: 30–90 days. Software development: 14–30 days. Always use a specific expiry date (e.g. "valid until 31 December 2026") not "valid for 30 days." Issue a revised quote if a client requests an extension — this lets you update pricing.

Should I include VAT on quotes?

Yes — always show prices exclusive and inclusive of VAT. Show: subtotal (excl. VAT), VAT amount at the applicable rate, and total (incl. VAT). If you are not VAT registered, state this clearly. For B2B clients, the ex-VAT price is most important; for consumers (B2C), the inclusive price is what they pay.
